This policy describes how Arkaio ("we") collects and processes your personal data in accordance with the Swiss Federal Act on Data Protection (FADP) and, where you reside in the European Union, the General Data Protection Regulation (GDPR — EU 2016/679).
1. Controller
The controller is Global Gestion Sàrl, Route de Collex 22D, 1294 Genthod, Switzerland (UID: CHE-105.160.40). Contact: contact@arkaio.io.
2. Data collected
Through the contact form, we collect:
- your name;
- your email address;
- your company name (optional);
- the content of your message;
- technical data (IP address, date) for security and anti-spam purposes.
Through the website's conversational assistant (chatbot), we record the messages exchanged, the language and the page of origin, without any IP address or visitor identifier. These conversations are anonymous unless you enter personal data yourself: we recommend that you do not, and that you use the chat's contact form instead. If you submit that form, the conversation is linked to your contact request. Your IP address is used temporarily to prevent abuse, without being stored with the conversation.
3. Purposes and legal basis
Your data is used to respond to your contact or demo request and for commercial follow-up. Chatbot conversations are used to answer your questions and to improve our content (legitimate interest). Processing is based on your consent (Art. 6 FADP; Art. 6(1)(a) GDPR), obtained when you submit the form, and on our legitimate interest in securing the service.
4. Recipients
Your data is intended only for authorized internal Arkaio teams. It is neither sold nor transferred to third parties for commercial purposes. It may be processed by our technical subcontractors (hosting provider, email, and for the chatbot Infomaniak's AI Service, which generates answers in Switzerland without retaining requests or using them to train its models) under agreements that comply with the FADP and the GDPR. To improve our content, questions asked to the chatbot may be analyzed by our team with Anthropic's Claude assistant, after automatic masking of email addresses, phone numbers and IBANs. If data is transferred outside Switzerland or the European Economic Area, we ensure that an adequate level of protection is guaranteed (adequacy decision or standard contractual clauses).
5. Retention period
Data from the contact form is kept for a maximum of 3 years from the last contact, then deleted or anonymized.
Chatbot conversations are deleted automatically 90 days after the last message.
6. Your rights
Under the FADP and the GDPR, you have the following rights:
- right of access, rectification and erasure;
- right to restriction of and objection to processing;
- right to data portability;
- right to withdraw your consent at any time.
To exercise these rights, write to contact@arkaio.io. You may also lodge a complaint with the competent supervisory authority: in Switzerland, the Federal Data Protection and Information Commissioner (FDPIC) (www.edoeb.admin.ch); in the European Union, the authority of your country of residence (for example the CNIL in France, www.cnil.fr).
7. Cookies
This website does not use advertising tracking cookies. Only technical local storage (language preference, the current chatbot conversation, cleared when the tab is closed) is used to improve your browsing.
Audience measurement
To measure traffic on this site and improve our content, we use Matomo, a self-hosted web analytics tool operated by Arkaio. Matomo works without cookies: no file is stored on your device. Your IP address is anonymised before anything is recorded, and the statistics are not shared with any third party. If your browser sends a “Do Not Track” signal, no measurement takes place.
8. Hosting and security
Your data is hosted in Switzerland: the website by Infomaniak Network SA (Geneva) and the application on Microsoft Azure, Switzerland North and Switzerland West regions.
We implement appropriate technical and organizational measures to protect your data against unauthorized access, alteration or disclosure (encryption of exchanges, access restrictions).
